The Project Administrator logs all submittals as received and establishes a target date for response. The Project Architect reviews and coordinates them and responds as appropriate. When they are completed, the Project Architect returns them to the Project Administrator for logging and distribution to appropriate parties.
JML uses Architectdata®, a Microsoft Access®–based application, to record and track all submittals received during a project's construction phase.
Contractors' Requests for Information (RFIs) are recorded in the system upon receipt. If an RFI is not answered within a designated amount of time, a reminder alerts the architect that it is past due. The software's reporting capabilities allow monitoring of all outstanding RFIs and also document the outcome of those completed. These reports include response time by the architect.
The software produces and records Architect's Supplemental Instructions (ASIs) or Proposal Requests (PRs) that may be tied to a particular RFI so as to maintain continuity. Reports similar to that described above allow monitoring of every ASI.
ArchitectData® also produces and monitors Proposal Requests. The application monitors the architect's submission, contractor's response, and client's decision by date and dollar amount. PRs may be translated automatically to and included in a subsequent Change Order. The software provides a complete history of all changes from inception to pricing to acceptance. |
